Recommendations/Options/Action Requested:

 

Approve purchase of furniture, for Municipal Court and Planning and Development Services for use at City Hall Riverfront up to the amount of $135,000.00, from DBI, utilizing the State of Kansas purchasing contract.

 

Executive Summary:

The Capital Improvement Program (CIP) and adopted 2018 budget includes funds for the remodel of the 3rd floor, west wing of the Riverfront Mall for use by Municipal Court and Planning and Development Services, with a CIP budget of $1.101 million, plus an additional $250,000 coming from 2018 budgeted general funds. At this point the project is under budget and on schedule and projected to remain that way.

 

The project is progressing, and it is anticipated that Municipal Court and Planning & Development Services (PDS) will be occupying the new space in late February. As part of the project costs, staff has been working with DBI, a State of Kansas purchasing contract vendor, on furniture for the space.  While we are utilizing as much existing furniture as possible, new furniture is required, including some new cubicles. The furniture order has been broken out into four related quotes: PDS general, PDS cubicles, PDS – Metropolitan Planning Organization (MPO), and Municipal Court. The PDS-MPO furniture order has already been placed, since this order’s funding leverages 80% federal grant funds that needed to be utilized in 2018. Staff has been refining a few of the items but, because of the holidays, has been unable to obtain exact final quotes and therefore is requesting purchasing authority up to, but not exceeding, $135,000.00. The draft quotes are included as attachments. Combined, these purchase orders from the same vendor require City Commission approval. Funds are available and have been allocated for these purchases.

Fiscal Impact (Amount/Source):

The fiscal impact to the City is a maximum of $135,000.00. This is related to an item in the 2017-2021 Capital Improvement Program (CIP) for the City Hall Riverfront remodel project (PS1701CIP) and funding is available.
