Department:

City Manager’s Office

Commission Meeting Date:  January 8, 2019

Staff Contact:

Bobbie J. Walthall, Administrative Assistant

Recommendations/Options/Action Requested:

Agenda Management Software update.

Executive Summary:

Over the past several months, a staff team comprising of Jim Wisdom, Sherri Riedemann, Porter Arneill, Kevin Powell, and myself have been researching different ways to improve the agenda preparation and work-flow process. After exploring several options, this group received presentations from three (3) vendors and reviewed each of the web-based software packages, some which also include Boards and Commissions.  The three (3) vendors were: CivicPlus, Granicus, and iCompass.  After studying each company and their respective platform functionality, it was determined that iCompass provided the most comprehensive and user-friendly option to fulfill the needs of the City. iCompass is also the lease expensive option, both for initial and annual cost.

Using this web-based platform, the Commissioners will be able to view the agenda on multiple devices and will have the capability of taking notes directly on their devices, as well as using digital voting.

We will be transitioning not only the City Commission agendas to this new platform, but also all the Boards and Commissions agendas as well.  While we do not have a set timeline as of yet, we anticipate the transition to happen in the spring.

I have provided a couple of links below to other communities that use iCompass.
