The meeting occurred at 5:30 pm in the Lawrence City Commission chambers.    Chair Keel called the meeting to order.

 

Introduction of Guests

Michael Schaetzel made comments to the advisory board and suggested that a member(s) of the board meet every 3 months with the Lawrence Sustainability Board.  

 

Minutes & Accounting

The minutes were approved as distributed electronically with several clarifications as submitted  

 

Herndon distributed a monthly accounting document which included a comparison to budget.  Herndon indicated that she had received the accounting information from the Hilliard’s for the Hiratsuka trip, and recommended approval of those reimbursements.  Motion was approved. This year’s Hiratsuka trip expenditures exceeded income by approximately $500, which will come from trip reserves.  This was due in part to the hosting of the “Jet Stream” youth from Japan this year.

 

Reconciliation on the Eutin trip’s expenses is not yet completed.

 

Friends of Hiratsuka – Report from Student Youth Delegation – Hilliard

Hilliard introduced Chris Grolock and several other students who participated in this year’s youth exchange to Hiratsuka.  Also introduced were Nancy McKee and Martha Boatright who will serve as next year’s chaperones.

 

Chris Grolock presented a powerpoint presentation showing highlights of this year’s trip.  It was suggested that this powerpoint be shown at the upcoming fundraiser.

 

General discussion occurred about this year’s trip.

 

Applications have been distributed for next year’s trip to Hiratsuka.

Report of Hiratsuka 20th Anniversary trip

Ken Albrecht gave a brief report on the Friends of Hiratsuka anniversary trip.   I was reported to be a very successful trip.  Hiratsuka was extremely gracious and hospitable, and exerted considerable effort to honor the delegation and express thanks to the City of Lawrence.

 

Scholarship Fundraiser

The fundraiser is next week.  Moody recommended people exert efforts to improve attendance.

 

Kanagawa University hosting  

The cost of the Kanagawa reception was discussed.  It was decided to inform board members who attended, of the pro-rata costs of this function and allow them to pay for their costs, if they wish.

 

New Business

The issue of this year’s Eutin trip was discussed as it regards the possible overlapping or conflicting responsibility of the school district.  It was decided to appoint a committee consisting of Schumm, Herndon, Kennedy, Albrecht, Hyler, Ross to discuss this topic at more length and make a determination back to the full board.
