Payment Approval for Services to Remove Solids at the WWTP

 

Please include the following item on the City Commission Agenda for consideration at the September 15, 2009 meeting:

Approval of payment to Reddi Services for vacuum services and removal of solids from four basins at the Wastewater Treatment Plant in an amount of $19,686.23.

Project Description

On 07/13/09 maintenance staff obtained time and material quotes for vacuum service work to remove solids from four of the treatment basins at the WWTP.  Four (4) contractors provided the following quotes:

 

  1. Reddi Services                             $12,081.90
  2. Mayer Specialty Services               $14,400.00
  3. Ace Pipe Cleaning                        $17,400.00
  4. Utility Maintenance Contractor        $17,400.00

 

Reddi Services submitted the low quote and a PO (#072033) was issued for $12,081.90. The quote requested was for time and material bids as opposed to fixed price in an effort to save money and only pay for the actual work performed. However additional manpower and equipment was needed to remove a larger amount of debris than was anticipated. In addition, two days required overtime hours to open drains that had become clogged with debris within the basins. Actual costs came in higher than the PO amount.  The total cost of the completed project is $19,686.23.

 

In the future maintenance staff will be obtaining fixed price quotes for complete projects instead of trying to anticipate the number of days, and costs to complete them.  A Management System Order has been entered and a corrective action plan implemented to help prevent this from occurring in the future.

 

Project Funding: 

This project will be funded out of the Department of Utilities Operations and Maintenance budget for wastewater treatment.

Action Request:  Utilities staff requests approval of payment to Reddi Services for vacuum services and removal of solids from four basins at the Wastewater Treatment Plant in an amount of $19,686.23.
