The meeting was held in the city commission chambers at City Hall at 5:30 on July 8, 2009. Linda Hyler, Chair, announced the presence of a quorum.
Old Business – Committee Reports
Financials (Boley)
Boley brought up the issue that the Eutin and or Hiratsuka trips may be in a position this year to consider returning a portion of the trip charges to some of the participants. He raised the issue of what role the Board should have in such a decision. Discussion ensued regarding past practices, prudent reserves, scholarship support, and what appropriate policies should be for the future. It was suggested that no commitments for such payments be made this year until further discussion by the board after Bill Keel returns.
A motion was made to accept the financial reports. The motion was approved.
Minutes
Draft minutes for the May meeting were previously distributed by email. Draft minutes for June were distributed at the meeting. Corrections were suggested for the June minutes and the May and June minutes were approved as corrected.
Friends of Hiratsuka – Kennedy
Lawrence students are currently in Hiratsuka. The Hiratsuka students will arrive on July 21. Arrangements for the visiting group were discussed. Boecker discussed city logistics regarding the visit. The Japanese group will return to Japan on the 29th or 30th. More logistics were discussed.
Public Relations – Hodge
Hodge has been in contact with the KU School in Journalism in pursuit of obtaining an intern.
Scholarship Fundraiser – Hodge
The meeting will occur on October 22. The event will be held at the Castle Tea Room. It will be a reception style informal event.
Hodge indicated that the committee needs to solicit sponsorships for the fundraiser, and seeking the Boards assistance in this regard.
Eutin 20th Anniversary Exchange - Albrecht
The Official Eutin 20th anniversary delegation arrives September 30 and leaves October 5. A tentative program was distributed and discussed with the Board.
Andreas van Zoest and ten to eleven members of his Guitar Orchestra will visit Lawrence from October 5 to 18th. He will perform and offer guitar workshops in Lawrence schools.
Hiratsuka 20th Anniversary Exchange – Tsubaki
Professor Tsubaki and Michael Kennedy brought the board up to date with status of the exchange.
New Sister City – Hodge
Schumm is working on a timeline regarding contacts between Iniades and Lawrence for a report to the City Commission. The Friends of Iniades are having another group meeting soon.
Membership Event – Hyler
The committee recommends that the membership event be done in conjunction with the Eutin Official Delegation visit this year. The event would be on Friday, October 2 at Free State High School. This is the only real date which would work to accommodate the Eutin delegation schedule.
City Web Page Redesign – Josserand
Josserand has distributed a draft of improved web content for the City Sister Cities web page. Although it is not included as part of this draft, it would be the intent to eventually include application materials for the trips as part of the site. Josserand would like to get corrections made and forwarded to the City before the next Board meeting. He will be contacting the trip coordinators for their input.
Membership lists – Hyler
Hyler distributed a list of members she had received from Darlene and asked questions about its makeup. She would like to use the list for the membership.
Student Exchange Policies – Josserand
Josserand indicates his committee has not met but should meet before next month’s meeting.
