Re:

February 27, 2007 Agenda Item

Please include the following item on the City Commission consent agenda for consideration at the February 27, 2007 meeting:

Bid for Fire Medical Uniforms and Related Accessories

Bid History.  On January 23, 2007, the Fire Medical Department solicited bids for supplying the Department with replacement uniforms and related accessories for purchase in 2007.  Bids were written to be renewed for an additional two years providing both parties agree and funds are available.  The Notice to Bidders set out the specifications for the items covered and included the estimated quantities with pricing requested per item.  Requests were sent to the City’s list of vendors for these types of items and the notice to bidders was posted on the Onvia DemandStar website.  The bid opening was at 2:00 PM on February 6, 2007.  The Department received four bids from suppliers.

Bid Status.  The submitted bids were reviewed and analyzed to determine the low bids for the responses meeting the Department’s specifications.  In some cases, responses included lower bids for items not meeting specifications.  The Department’s specifications are based on established standards of brand quality and appearance.  There are a number of suppliers that carry the specified brands, resulting in competitive prices for all items.

Bid Details.  The bid was divided into six separate components to allow vendors to bid as many parts as they could.  All bid pricing was requested per item to allow us to reduce estimated quantities.  Instructions to bidders clearly noted that actual purchase quantities were to be based on unit cost and availability of funds ($40,000 for FY 2007).

Funding.  The purchase will be funded from the 2007 Fire Medical Operating Budget.

Action Request.  Fire Medical Department staff requests approval from the City Commission to authorize the purchase of the following replacement uniform items as indicated below utilizing the submitted unit costs, renewable for an additional two years providing funds are available and both parties agree.
