RE:

Kaw Water Plant Elevator Rehabilitation Project

Contract Agreement

Please include the following item on the consent agenda for the February 13, 2007 City Commission meeting.

Enter into an Agreement with Dynatron Elevator, Inc., in the amount of $70,640.00 to design and construct modifications to the Kaw Water Treatment Plant freight elevator and provide one year of maintenance services.

Project Description/History:   The electric traction freight elevator in the Kaw Water Treatment Plant is used to carry material between the basement and second floor.  The elevator was last upgraded in 1960 and has multiple components in need of replacement.

The intent of the project is to obtain a functioning freight elevator complete with new doors, controls, and electrical modifications. The service provider will identify suitable components, will furnish the equipment, provide for its installation, and perform one year of comprehensive maintenance services under the contract.

Project Status/ Details:

November 2006: The Utilities Department requested proposals and received responses from two firms.  Dynatron Elevator, Inc. and ThyssenKrupp Elevator attended the mandatory pre-bid meeting and indicated an interest in the project.

December 2006:  Utilities Department staff evaluated the proposals and found Dynatron Elevator, Inc. to be the most responsive firm.

January 2007:  Staff negotiated an agreement for upgrading the freight elevator.  In addition, we included provisions for one year of comprehensive maintenance.  Maintenance services were added because having the rehabilitated elevator serviced by a different provider will interfere with the warranty.

We anticipate the following project schedule:

Execute Professional Services Agreement:  February, 2007

Technical Submittals: March, 2007

Begin Construction: May, 2007

Complete Construction: July, 2007

Project Funding: Funding is through Utilities Capital Improvement non-bonded funds.

Action Request.  The Utilities Department seeks approval from the City Commission to authorize the City Manager to enter into an Agreement with Dynatron Elevator, Inc., in the amount of $70,640.00 to design and construct modifications to the Kaw Water Treatment Plant freight elevator and provide one year of maintenance services.
