February 13, 2007 Agenda Item
|
Please include the following item on the City Commission consent agenda for consideration at the February 13, 2007 meeting:
Mechanical Systems Renovation – Investigation and Training Center (ITC) 4820 Bob Billings Parkway
This is for the addition of an air-conditioning system to serve the computer and evidence room.
Project History. The Public Works Department solicited RFPs for installation of the system. The project needs to be completed as soon as possible to insure the computers, and computer evidence, are not damaged by heat. This area is presently air conditioned from the same unit that the offices are using. This is a problem for this time of year because the computer area needs to be cooler than the offices, which makes it uncomfortable for office occupants. Consideration was given to the size and partial integration into the existing controls in anticipation of this future use. Requests were sent to Chaney Inc., Cloud Heating and Cooling, and Huxtables L.T. Service. The RFP was submitted to and published on Demand Star. The Department received one proposal from Huxtables L.T. The others declined to submit.
Project Status.
The proposal was reviewed and the department recommends proceeding with the project using Huxtables L.T. for the renovation of the HVAC based on the following criteria:
Qualifications and Experience
Project Organization and Approach
Project Schedule for completion
Client References
Project costs
Project Details. The project includes all engineering, design, project management, job supervision, equipment, electrical, materials and labor for the installation of 2 new split-system cooling units. They can operate either as independent units or in conjunction with the existing HVAC so the units can help cool the entire space or only the crime lab space when the building HVAC is in heating mode.
We anticipate the project to be completed in May, 2007.
Project Funding. This project will be funded from Capital Improvement Reserve funds set aside for significant projects. The cost of this project is $26,320.00. The purchase order will be charged to line item 202-3000-570.33-09
Action Request. Public Works Department staff requests approval from the City Commission to authorize the City Manager to enter into a contract with Huxtables L.T. in the amount of $26,320 for climate control system for the Police Department’s Investigation and Training Center located at 4820 Bob Billings Parkway.
